A touring LED backdrop budget should compare the same finished wall, cabinet configuration, packing plan and delivery boundary before comparing prices. For 500 × 1000 mm rental cabinets, the screen-only amount leaves out processing, approved support hardware, cases, spares, transport and the repeated work needed between shows.

This guide helps rental integrators in the USA and Canada prepare comparable purchase requests. It separates the initial landed system cost from recurring tour costs, without inventing cabinet prices, freight rates, duties or labor savings.

Compare a deployable package

  • Fix the cabinet grid, pitch and indoor or outdoor configuration.
  • List equipment, cases and spares separately from the active wall.
  • Assign every delivery charge to one party and one boundary.
  • Model repeated transport, setup and maintenance independently.

1. Fix the touring LED backdrop budget scope

Start the touring LED backdrop budget with one revision-controlled equipment schedule for all bidders. State the active width and height, orientation, intended venues, viewing conditions, camera requirements and support method. Distinguish purchasing a fleet from hiring a screen with a crew: those proposals allocate ownership, repairs and transport differently.

The EA1000C6 product overview describes a 500 × 1000 mm cabinet family with indoor and outdoor configurations. Its quick locks and supported mixed splicing are relevant comparison points, but the exact pitch, electronics and approved installation arrangement must appear in the offered configuration. Do not transfer one variant’s protection rating or electrical specification to another.

A finer pitch can change the pixel count and required processing capacity at the same physical wall size. Ask suppliers to state cabinet resolution, total canvas resolution and the proposed signal layout. Include the playback and distribution equipment actually needed rather than assuming a processor is included in every screen price.

2. Calculate the cabinet and spare quantities

For an illustrative flat wall measuring 8 m wide by 4 m high (26.2 × 13.1 ft), portrait 0.5 × 1 m cabinets form 16 columns and four rows. The active wall needs 64 cabinets and covers 32 m² (about 344 ft²). This is a geometric example, not an approved hanging design, a product quotation or a recommendation for every venue.

If the buyer chooses four additional complete cabinets as an example spare allowance, the purchase contains 68 cabinets but the active picture remains 32 m². Price active stock and spares separately. Ask how spare modules, power supplies, receiving equipment and calibration records relate to the chosen production batch; no universal spare percentage is assumed.

Request a packing list with actual cabinet quantities per case, case dimensions, gross weights and accessory positions. A touring LED backdrop budget based only on bare-cabinet mass cannot establish truck space, freight cost or safe handling. Check whether processors, hanging components and service tools need their own cases.

3. Use a quote comparison worksheet

Keep the same quantities and responsibilities across bids. Mark an omitted line “not included” or “awaiting confirmation,” rather than treating a blank cell as a zero cost. Record currency, exchange-rate date, quotation validity and the destination for every comparison.

Buyer worksheet: request a written amount, inclusion status and responsible party for every line
Cost line Basis to hold constant Evidence or clarification
Active cabinets Grid, pitch, variant and approved configuration Unit quantity, unit price and exact supplied parts
Processing and signal Canvas, inputs, distribution and recovery requirement Equipment list, cables and configuration scope
Support equipment Approved hanging or stacking arrangement Included components and local engineering boundary
Cases and spares Packed quantities, dimensions and spare references Gross packing list and compatibility records
Initial delivery Named delivery point and agreed trade term Freight, insurance, handling and excluded destination charges
Local deployment Venue access, crew scope and schedule Installation, rehearsal, removal and support exclusions

Use the worksheet to reconcile two touring LED backdrop budget proposals before calculating any price difference. A lower cabinet subtotal may simply exclude cases or processing. Ask for the missing scope to be priced rather than adding an undocumented allowance that makes a weak proposal look complete.

4. Budget the repeated touring workflow

Tour costs recur after the hardware arrives: case loading, local transport, venue access, assembly, cable checks, rehearsal, removal and inspection between stops. Record crew roles and estimated hours for each activity, then validate estimates in a representative build. A quick-lock feature alone does not prove a particular crew reduction or setup time.

The company tutorial below shows EA1000C3 cabinet assembly. It helps explain why component assembly and checking are distinct tasks from linking finished cabinets at a venue. It depicts a different model from the EA1000C6 photographs and is not a timed tour setup study or a universal wiring procedure.

Before approving a touring LED backdrop budget, ask who handles damaged modules, calibration, spare replenishment and configuration recovery between dates. For the wider application, see the stage LED screen overview. Structural loads, power distribution and venue permissions require project-specific qualified review.

5. Separate landed cost and operating cost

Define landed system cost as the agreed equipment and packing subtotal plus the initial delivery, insurance and destination charges that the buyer actually bears. Identify inclusions first so a freight or handling charge is not counted twice. Obtain destination-specific tax and customs advice from the appropriate professional; this guide supplies no duty rate or tax treatment.

For a tour planning model, add expected recurring deployment costs and a documented maintenance allowance over the chosen number of events. Keep this separate from accounting depreciation, tax and financing. Dividing purchase cost by an optimistic show count does not establish rental profitability or demand.

A useful touring LED backdrop budget has a base case and a sensitivity case: change the number of deployments, freight assumption or repair allowance one at a time. Record who supplied each input. For cross-border dates, ask the appointed logistics adviser how equipment movements, documentation and insurance are handled instead of assuming the original import arrangement covers every later journey.

Purchasing questions

Is a price per square meter enough to compare purchases?

No. It can normalize the active picture area only after pitch and configuration match. Keep complete spares, cases, processing, delivery and deployment outside that denominator or identify them explicitly.

Does the same cabinet size guarantee compatibility with existing stock?

No. Check locks, alignment, electronics, power and signal arrangements, calibration and approved mixed use. Budget a representative compatibility check before assuming older stock can be reused.
